Do you want to play a pivotal part in assisting the Lord Mayor of Leicester City Council?
The Member and Civic Support Team are currently recruiting for one permanent part-time (29.6 hours) Administration Business Support Officer role.
The team provide support service to all Elected Members of the Council and manage and co-ordinate all civic activity for the City on behalf of the Civic Office Holders. The Team is led by the Team Leader, who is supported by three Administration staff and one Civic Attendant. The team are responsible for providing support services for elected members including managing day to day enquiries from constituents and providing assistance where needed to allow Members to undertake their role. They are also responsible for processing civic invitations for the Lord Mayor and supporting civic events hosted by the City Council.
This job is open to blended working. The main work location will be remote working however, you will on occasion be required to work from City Hall.
The candidate would be expected to work either 4 full days per week or 5 days per week at slightly reduced hours. The current working patten is Mon, Tues, Thurs and Fri but an alternative pattern may be considered providing it meets the needs of the business.
What you’ll be doing
As a confident Admin and Business Support Officer you’ll ensure the service runs smoothly by responding to telephone enquiries, emails and post in an efficient way. You’ll be responsible for maintaining accurate electronic filing systems to ensure all records are up-to-date and confidentiality is maintained as well as processing invitation requests, maintaining an electronic database diary system and undertaking general administrative tasks. You will also process requisitions for goods and services and the Lord Mayor’s expense claims. You will support other team members in the delivery of the Member Development Programme and the Members Allowance Scheme . Support to elected members and civic office holders is essential and you will need to liaise appropriately with high profile people and organisations in the delivery of the council hosted civic events.
What you’ll need
You’ll have experience of carrying out a range of administration tasks and have a good understanding of the importance of customer care. Using good verbal and written communication skills, you’ll provide excellent customer service when resolving and responding to a variety of enquiries/invitations. With strong organisational skills, you’ll be able to work under pressure, in a fast-paced environment with an ability to organise your own workload and adapt to changing priorities. You’ll also need the ability to work on a number of tasks/projects concurrently. You will have proficient IT skills to carry out general administrative tasks, maintain records and databases and produce simple reports with accuracy and high level of attention to detail.
